A photo needs
its context.
Taking pictures at arrival is easy. Finding the right original after a guest reports damage, proving which session it belongs to, and understanding when it was captured are the parts that make the practice useful.
The standard
A photo is a record only when the system can explain it.
Operational condition capture should answer four plain questions: when was this image made, who made it, has the original been preserved, and which vehicle session did it describe?
Those qualities improve internal review and dispute handling. They do not guarantee legal admissibility, prove who caused damage, or replace the operator's claims process.

Attach the photograph at capture time

Use a system-recorded capture time and preserve the upload time separately. A filename date is too easy to lose or rewrite.

Attribution
Connect the capture to the authenticated staff member and device context without asking the valet to type a name.
What
Original file
Keep the source image distinct from thumbnails, crops, annotations, and compressed versions created for display.
Where
Session link
Bind the image to the active vehicle session while the car is still present, not by searching a camera roll later.

Make capture quick enough to happen
A perfect inspection that blocks the arrival lane will be skipped. The field workflow should collect the minimum useful view now and allow enrichment later.

Review both presence and absence
An image can show a mark. It can also fail to show an area clearly. A fair review keeps those possibilities separate.

Was the area photographed?
A missing angle is unknown, not evidence that the panel was undamaged.
Quality
Can the image answer the question?
Glare, darkness, rain, and motion may make a technically present photo operationally useless.
Sequence
What happened between captures?
Arrival and departure records belong beside ticket events, handoffs, and any reported incident.
Access
Who can retrieve it?
Condition records contain vehicle and location information. Availability should follow a legitimate operational role.
The operating test
Retrieve the right original without knowing its filename.
Give a manager a session identifier and ask for the unedited arrival images, capture times, and staff attribution. If the process depends on scrolling a shared camera roll or trusting a renamed attachment, the record is not ready for review.
The takeaway: the value is not that the operation takes pictures. It is that every picture remains attached to an understandable event.
